Policies and Procedures
Players' Code of Conduct
Core Sports Academy believes strongly in the values of teamwork, sportsmanship and leadership through example. As a player with CSA, your actions reflect not only on you, but also on your teammates, your coaches, your parents and CSA as an organization:
· I will never curse or use foul language.
· I will respect my coaches at all times and listen carefully to their instructions. I understand that they are giving their time to make me a better sports player.
· I will support and respect my teammates at all times. I will not tease, ridicule, put down or make fun of any players on my team or the opposing team, at any time.
· I understand that my behavior reflects on my teammates, my coaches, my parents and the CSA program. I will always be on my best behavior.
· I will show good sportsmanship at all times, both when winning and losing.
· I will be committed to developing as a player. This includes attending practice, listening to my coach, and always giving my best effort.
Participation 
​​Players who do not participate during practice:
- If a player chooses to sit out for any reason other than illness, coaches will encourage them to play. If they refuse, the head coach/manager will call home to speak to parent/guardian when practice is over to make parent/guardian aware of the incident.
- If this occurs three times in one season, the player can be removed from the program if in the best interest of the child and reduce the impact to the  group. Our goal is full participation and enjoyment!
Behavior
​​We expect all CSA players to focus, not only on sports, but also good sportsmanship and excellent character during the season and to remain respectful to coaches and other players at all times. If incidents do occur, coaches will be using the behavior modification steps below.

Behavior Modification System

Strike #1- warning
Strike #2- discussion with player and suspending participation for a 5 minute cooling off period.
Strike #3- call home/parent communication - 3 calls home or any form of communication with parent in one season can result in removal from the program.
If a child receives two, level three strikes (calls home/discussions), they will be put on athletic probation.
If the player shows any additional signs of misbehavior, they will receive their last level three strike (call home/discussion) and will be expelled from our program immediately.
- Misbehaving children sets a bad example for the other players.
- CSA does not tolerate unacceptable behavior - Listening to the coaches and respecting all rules and individuals is all part of being on the team.
 I will not take part in Violence or Bullying

Zero Tolerance for Bullying or Violence
Any interaction including violence or bullying, must be addressed immediately. Players who are involved in violence or have been bullying other students must sit out for the remainder of practice.

An incident under these circumstances results in: 
- Immediate Suspension - one full session after the date of incident  
- Athletic Probation for the rest of the season

If the player(s) show any sort of violence or bullying at our sessions again, they will be expelled from the program immediately.
"Bullying” is the repeated use by one or more players of a written, verbal, or electronic expression, or a physical act or gesture, or any combination thereof, directed at a target that:
- causes physical or emotional harm to the target or damage to the target’s property;
- places the target in reasonable fear of harm to him/herself, or of damage to his/her property;
- creates a hostile environment at practices and/or games
- materially and substantially disrupts practices and/or games.

Examples of Bullying (not limited to this list):

- making threats at teammate(s)
- swearing at teammate(s) or name calling of any kind
- degrading teammate(s) in any way; for example making insults about a person’s ability or a person’s appearance
- hitting, tripping, spitting at, pushing, physically intimidating teammate(s), etc.
- kicking or throwing a ball recklessly at teammate or coach
- spreading rumors or gossiping about a teammate or using teammate’s equipment without permission
Arrival and Dismissal Policy
Parents/Caregivers must sign-out players on our dismissal sheet if they are a car-rider, biker, or walker unless parents give us permission to allow these players to leave without a signature.

If your child is to be picked up by someone other than the names listed on our registration form, please provide a note or email to the coach.
Payment Plan Policy
Core Sports Academy has a variety of payment plans available to make youth sports as convenient and affordable as possible. When you register with us, you agree to paying all up front or making installments per sport, per child for the duration of the season.  Our customers will be charged at the time of registration and the amount will vary depending on the payment plan selected. Our program has no registration fee, no membership fee, no contract and no fee to cancel. Our customers can cancel at any time, we just request a 30-day notice so our team can make the changes before the next payment is processed.

Payments - I understand my first payment must be made by the second session or my child will not continue to participate in the program. 

​Suspended Payments - I understand if a payment does not go through for any reason (expired card, card declined, etc), Core Sports Academy will send me a notification via email. Payment must be reactivated within one week of suspension notification or my child will not participate in the program. (If you experience any type of financial difficulty that could affect your payments please let us know! We have a CSA scholarship program that might help!)
Refunds- Core Sports Academy does not issue refunds for non-attendance at a scheduled class. CSA does not prorate for child absences or school holidays. We follow the OCPS Calendar. If there is school, we will have practice. If there is no school in session, our practice will be cancelled. If there is a teacher work day/holiday on the day of your child's class, no class will be offered on that day. If you pay all up front and your child cannot continue for whatever reason, please let us know at info@coresportsacademy.com and we will issue a refund to your account for the remainder of the season!

Our program has no contract and you can cancel at any time, but must give our staff a 30-day notice and done 30 days prior to your next payment. (Full refunds are offered within first 30 day window after the child participates in their first practice).
Scholarships
Core Sports Academy believes that every child deserves the opportunity to play on a sports team. We will offer one-two scholarships per program at every school. Please note: we can only grant one scholarship per household. You can submit a scholarship inquiry request to our email at info@coresportsacademy.com and we will send you a form to apply for the scholarship.  

Scholarships will be granted based off the applicants and who is the most qualified. All scholarship applications must be submitted before the end of September to be granted.

Scholarships can cover 25% - 100% off the program costs, but they do not include any elite tournaments. Elite tournaments must be paid separately if players want to participate. 
Discount Codes
Core Sports Academy loves to honor returning parents, teachers, staff and new customers! There will be certain discount codes published and shared through our email campaigns that will be active for a limited amount of time only. Please note that only select schools, programs, and locations will apply and be eligible to receive such discounts. Only one discount code may be applied per order. Once a discount code has expired we are unable to reactive it. If you have any questions or concerns please email us at info@coresportsacademy.com
Rain-outs, Cancellations and Make-ups
Where possible, CSA will endeavor to put on make-up practices for any practices that are rained-out or cancelled. However, one thing CSA cannot control is the weather and OCPS cancellations, and cannot guarantee that every practice and game that gets rained-out or cancelled will get rescheduled.

If there is no indoor space available, there will be a maximum of two make-up weeks due to inclement weather (extreme cold, heat, or rain).

Core Sports Academy reserves the right to cancel any program due to insufficient enrollment. If this occurs, a full refund will be made upon cancellation.
Players of the Week
Core Sports Academy believes in awarding good behavior. CSA coaches will select a player of the week who they believe has showcased great sportsmanship, behavior, performance, etc. Our coaches will be fair as every player on our team will be player of the week at least one time each season. Please note that other players may receive this recognition more than others, but simply due to good behavior.

Late Pick-up Policy
Once Core Sports Academy's session is over for the day, our coaches will wait at the dismissal location with all car riders, bikers, walkers waiting on a parent/guardian. 

CSA follows a 15 minute grace period from the session end-time waiting for all parents/guardians to pick-up all players. Once the 15 minute grace period has passed, parents will start to be billed for the "Late Pick Up". 

Our customers will be billed an upfront fee of $10 plus an additional $1 per minute they are late picking up the student. The Core Sports Academy Staff will follow-up via email with a link to pay the balance due.
Incident/Accident Reports
If a player gets into any incident that was addressed during practice – it must be reported 
Examples:
- Injury – if a player has any scratch, bump, bruise, redness, or mark
- Extreme misbehavior
- Fight or conflict

An incident report will be sent home with player and will have a phone call home. Head coaches will then need to follow-up with an email.
